Treasurer

Purpose:

Oversee the Playhouse’s finances with a steady hand, ensuring our limited resources are maximized to keep programs accessible and fees affordable for local families.

Key Responsibilities:

  • Financial Oversight: Track all income and expenses in Xero, maintaining accurate and transparent books.

  • Budget Planning: Collaborate with the President and committee to create and manage annual budgets, forecasting financial needs in alignment with our mission.

  • Reporting: Prepare clear, concise financial updates for quarterly committee meetings, ensuring members stay informed.

  • Compliance: Liaise with the external accountant and manage regulatory requirements, such as end-of-year statements.

Time Commitment:

  • ~1 hour per week for bookkeeping, admin, and responding to committee queries.

  • Quarterly in-person meetings (~2 hours each).

  • Flexibility for any urgent matters (rare).

President

Purpose:

Lead Hampton Children’s Playhouse into a new era by shaping programs, building partnerships, and ensuring we continue to serve families in an ever-evolving Bayside community.

Key Responsibilities:

  • Vision & Strategy: Develop and steer the overall direction of the Playhouse, adapting to Bayside’s changing needs while preserving our welcoming, community-focused ethos.

  • Leadership & Oversight: Work collaboratively with the Treasurer, Secretary, and other committee members (Communications, Social Media, Craft, Events, etc.) to set priorities, allocate resources, and keep everyone aligned.

  • Partnership Building: Engage with the local council, businesses, and community stakeholders to enhance programs and secure funding.

  • Community Engagement: Represent the Playhouse at local events, forge connections that help us grow membership, and advocate for family-friendly initiatives in the region.

  • Governance & Sustainability: Although the Secretary handles formal minutes and meeting logistics, the President ensures compliance, transparency, and best practices in board governance.

Time Commitment:

  • 4+ hours per week leading initiatives, fielding emails, and coordinating the committee.

  • Quarterly in-person meetings (approx. 2 hours each).

  • Additional time for special events, partner outreach, or strategic planning sessions (flexible).

Memberships Manager

Purpose:

Cultivate a thriving, engaged membership base by responding to current members’ needs and attracting new families from Bayside and beyond.

Key Responsibilities:

  • Member Relations: Answer queries, manage sign-ups/renewals, and maintain updated member information.

  • Recruitment Initiatives: Work on strategies to boost membership—referral programs, community partnerships, social media outreach (in coordination with our Communications roles).

  • Retention Efforts: Ensure members stay informed about events, perks, and any new program offerings.

  • Committee Collaboration: Share feedback with the committee on what families are asking for or struggling with, helping shape future programs.

Time Commitment:

  • ~1 hour per week on admin and communications.

  • Quarterly in-person meetings (~2 hours each).

  • Optional: Advocate for the Playhouse with potential members in the community.

Career Development & Benefits:

Maintenance Manager

Purpose:

Ensure our beloved indoor and outdoor spaces remain safe, clean, and ready for play so parents and kids can enjoy worry-free time together.

Key Responsibilities:

  • Facility Coordination: Liaise with the council, gardeners, electricians, and other trades when repairs or improvements are needed.

  • Routine Checks: Identify and promptly address safety or maintenance issues (e.g., playground equipment, broken toys, outdoor hazards).

  • Budget Collaboration: Work with the Treasurer to stay within maintenance budgets and plan for any larger capital improvements.

  • Committee Updates: Keep everyone informed about maintenance tasks, schedules, and any upcoming disruptions.

Time Commitment:

  • ~1 hour per week on emails, calls, or contractor coordination.

  • Quarterly in-person meetings (~2 hours each).

  • Occasional on-site visits to inspect or oversee major repairs.

Parties Manager

Purpose:

Coordinate all weekend birthday parties - an essential revenue stream and a key benefit for our members.

Key Responsibilities:

  • Booking Management: Handle inquiries, maintain party calendars, and confirm bookings with members.

  • Logistics: Organize cleaning, ensure the space (indoor/outdoor) is ready, address any special requests.

  • Member Support: Serve as a point of contact for parents, providing guidelines and party tips.

  • Revenue Growth: Suggest ways to enhance or expand party offerings (partnerships, add-ons, etc.).

Time Commitment:

  • ~1 hour per week handling emails/phone calls.

  • Quarterly in-person meetings (~2 hours).

  • Optional: Attend or oversee weekend parties if desired.

  • Secretary: Maintains minutes, agendas, and key governance documents, ensuring accountability and transparency.

  • Inbound Communications: Responds to general inquiries via social and email.

  • Outbound Communications: Manages website, email communications, newsletters and other comms as required

  • Social Media Community Manager: Oversees our social platforms, creating engaging content and moderating discussions.

  • Craft Manager: Plans and coordinates weekly or monthly craft themes and related materials.

  • Events Manager: Organises special events (e.g., seasonal festivities, holiday celebrations) in collaboration with other committee members.
